FAQ

As busy parents ourselves we ( Friends of The Pines PTA Core ) have tried to streamline not only the booking process for tickets but the flow of people into the events. We use an online system called Q-Flow that synchronises with the PTA website allowing us to:

  1. Keep your child's data protected behind a password protected device rather than a printed list of details. Its not just their name we need to know. If they hurt themselves we need to call you. If they have medical / allergy needs we need to be aware of that to provide requirements for them. 
  2. Speed up the process of checking your child into an event. You are leaving your child in our care and basic fire regulations require us to know who is in the building and have a list to check against in the event of a fire at the safety check-point.
  3. Check them back out again making sure they have left with only the correct person they should have left with. People dont always show up even when they have purchased a ticket.
  4. Track what events are successful and what events need improvement.

Yes you can! You add your purchases to the basket in the same way you would to pay online, and continue to the checkout.

  1. At this stage you will have the option to 'Complete an offline order'.
  2. Select 'cash' as the payment method.
  3. This will email your 'email confirmation' with your 'tickets' and/or 'vouchers' attached as a pdf.
  4. You can then print out the 'email confirmation' and include it in an envelope with the cash payment for the event. You can put this in the PTA post box in reception or send it in with your child through their teacher.

 

This method of booking not only ensures we get the correct details about your child from yourself but reduces the admin for the PTA and speeds up the entry process to events for everyone. 

PLEASE NOTE: If we don't receive the cash payment for the purchase then the tickets/vouchers will be invalid for the event, so don't forget to complete your order with the cash payment. 

 

 

 

 

 

If you purchased products that showed a QR Code you should have received an order confirmation email from Friends of the Pines using the following email address: .

In the email is a PDF attachment containg all your tickets. Unfortunately, the IOS mail app has issues rendering PDFs so although you can see an attachment icon you cant actually see the PDF. You can download a copy of your tickets from the "My Account" section of the website or alternatively, download the email to another device as youll need to print them off to be scanned on entry.

 

 

There could be many reasons why you didnt receive an order confirmation email from us.

Firstly, please first check your spam or junk mail folder to check it hasnt been filtered in there.

Secondly, please ensure you add to your contact list or safe sender / white list.

Finally, if you are using an email service provider such as Hotmail or AOL please be advised that they restrict the volume of messages that can be received from a sender and therefore you should download your tickets from "My Account" section of the Friends of the Pines website.

 

 

Yes. Please ensure you print your tickets so they can be scanned on entry to the event. Each ticket has a unique QR code on it which identifies you. We use sophisticated scanning technology which seamlessly synchronises scanned tickets to a central database. This way we can ensure that tickets are not fraudulently used multiple times and therefore we can keep your ticket price down.

 

In short, Yes. We need to check your child in and out of the events so we know who is in the building inline with fire regulations. We will have a list of all those that have bought a ticket but this of course does not ensure that child has turned up. So if you bring your ticket it simply ensures you will get faster entry to the event because we can tick your child off our list after the que has gone down. If you don't bring your ticket then we will need to find you on the list to check your child into the event before they can go in.

You will notice the QR code on your ticket and that is something that will speed up entry into events. 

 

 

 

 

We close ticket sales before the event to ensure that we ( Friends of The Pines PTA Core ) have time around our normal working days/lives to do the following:

  1. Download all tickets, ensuring the school has a list of children attending. 
    Allow time for the school to put together care packages for those children that require them.
  2. Synchronise the event details and attendee lists across 3 devices to work Q-Flow (confident that someone has already checked they are fully up to date and charged).
  3. Confirm numbers and check stock for those numbers.
  4. Arrange shopping to cater for those specific numbers and all the special dietary requirements.
  5. Confirm how many volunteers we need and communicate the plans to them.
  6. Arrange floats for tuck shops.
  7. Confirm the Third Parties attending, for example: The DJ or the caterer.
  8. Tend to any third partys set up requirements.
  9. Confirm First Aiders are attending.
  10. Physically set up for the event, whether it be putting out chairs and tables or decorating rooms etc.

 

So you see there is actually a lot more to all these events than your child just showing up. We don’t stop sales to be awkward or make a point, there are actual tasks that go into the prep of these events that require time to action. 

Events are communicated out via Facebook posts / Emails out from school / Letters out in book bags / newsletter notices (and posters on doors for some events). Closing dates for ticket sales are always detailed on all communications. If you are still not receiving these communications then let us know on PTA@thepinesschool.org.uk

We are really not sure what more we can do…

Let’s make it easier to remember. From now on ticket sales will close 48 hours before the start of any event. So you can easily work back and decide when it is best for you to purchase your child’s ticket BEFORE sales close. We can stick to this rigidly to keep it simple - but you must stick to it too!

Friends of The Pines PTA Core put on these events to support all our children at The Pines School. There is a lot to do with very limited resources and volunteers! Signing up to this list holds no obligation at all. It just means we have a direct line of contact to you, to ask if you can help at that particular time. If you can sometimes help out with events but not alway why not put your name on this list and when we have a task that needs doing we can mail the list to ask if it is one that suits you.

Events are arranged and run onsite by the PTA alongside our parent volunteers.
All core PTA have up to date DBS checks

Tickets are available to purchase on the Friends of the Pines website (Stripe payment). Ticket sales close as stipulated. 

KS1 (Key Stage 1) events are for Nursery, Reception, Year 1, Year 2. 

KS2 (Key Stage 2) events are for Years 3 – 6.

Some events like FunFest and The Christmas Experience are for everyone - including the public.

Any parent volunteers who have signed up to help will be sent separate correspondence with arrival time, location and assigned jobs. We thank you in advance for your support and helping make these events happen.

Not generally.

We kindly ask parents of nursery children to remain on site for the duration of events.

Children with allergies or medical conditions: Please make us aware in advance (pta@thepinesschool.org.uk) and we kindly ask parents to remain on site for the duration of the event. Please do feel free to discuss with us.

Refreshments will be available at events. Children at events without their parents/carers will be responsible for their own money.  

Please note we are a Nut Free school and all tuck purchased will be nut free. We also have a small selection of gluten free at all events.

Onsite Emergency Contacts are made available and known before the event. 

Care packages are made available if required and school staff are aware of who these children are.
