On Friday 3rd December, St Edmunds will be hosting a new Christmas market, in our new multi purpose hall. With invitation to staff, families and their friends to come and enjoy some shopping in the warm and dry! 

The event is FREE to stallholders to support local businesses.

**You will need to bring your own table (we can provide chairs) **

Set up starts from 5.00pm at St Edmunds, Hindhead.

An email will be sent approx 3 weeks before the event with all additional information regarding pitch location, access, parking etc. However if you need anything before then please mail Julie Willcox at fosechair@saintedmunds.co.uk or call on 07971 683 389.

We will be monitoring covid guidelines and requirements and will keep you updated if any change required

Terms and Conditions

St Edmunds Christmas Market 2021

 

Health, Safety and Licensing

Stallholders are expected to comply with all relevant legislation in respect of Trading Standards, Consumer Protection, Food Safety, Health and Safety and requirements of the WAVERLEY AND SURREY County Council Health, Safety and Environmental Health teams.

 

If you intend to sell alcohol, then it is the responsibility of the stallholder to apply for a license. The event will be operating with a Temporary Event Notice, however arrangement to utilise this license to support your alcohol sales must be agreed with the event organisers prior to booking. Failure to disclose of requirement prior to booking may result in your booking not being honoured and no refund being provided.

 

To sell food items you will need to email us proof of your food hygiene certificate , your food standards agency rating (where applicable) and any other licenses you permit to sell your products to the public.

 

During the set up and dismantle of your stall, stallholders are expected to work with due care and attention to members of the public and other stallholders. You must alert event management staff of any health and safety related issues immediately.

 

Risk Assessment

All stallholders are required to have carried out a careful assessment of the potential risks associated with their particular activity and set up required, and to submit a written copy of this upon request.

 

Insurance

All professional stallholders must hold Public Liability Insurance, with a minimum cover of £2 million to cover the period of the Market. If you do not have this, it can be brought via most compare websites for around £7 per month.

 

Stallholders must supply evidence of current insurance with their completed online booking. Insurance renewal certificates must be sent to the event organisers before the event commences. If stallholders do not have valid insurance covering the duration of the Market, stallholders will not be permitted to trade. Stallholders must hold adequate insurance to cover loss or damage to stock.

A professional stallholder/entertainer would be someone who:

a)     has a stall or performs at 10 or more events a year; or

b)     has their own trading name; or

c)     has a website or Facebook page set up specifically to promote the trading activity (e.g. a page in the name of their “business”).

 

A Non-professional stallholder/entertainer would be someone who:

a)     Makes and sells items for a hobby

b)      They have no other appropriate insurances that should respond.

c)      Any profits generated are not for another business entity or organisation.

Any non-professional stallholder/entertainer is considered a volunteer under our policy.

Indemnity

In signing the terms and conditions, stallholders (subject to approval by FOSE ) shall indemnify Friends of St Edmunds (FOSE) and St Edmunds School, Hindhead and all event staff from and against actions, costs, losses (including legal fees), claims or demands in respect of any accident, damage, death or injury to any person or property arising directly or indirectly from the stallholder’s use of the school site and participation in the event.

To the maximum extent permitted in law, you agree that Friends of St Edmunds (FOSE) and St Edmunds School, Hindhead are not responsible for any financial loss, or for any loss or damage to your equipment, goods, personal belongings or stock, and for any personal injury to you or any part or person connected with you.

Data

By signing the terms and conditions, you give permission for your company contact details to be stored on an electronic storage and retrieval system (The PTA events booking system) . This will not be used by any third party without prior consent.

 

COVID-19

We as an event organiser will continue to monitor the Covid-19 pandemic and follow all Government rules and regulations at the time of the event for the safety of participants and attendees.

 

A full Covid-19 risk assessment will be completed and will be made available for your review ahead of the event.

In order to mitigate risk as much as possible we will be asking all participants and attendees to complete a lateral flow test prior to arriving at the event. If you require tests please order here:

Other Terms and Conditions

The event will be publicised via posters, school notifications and social media

We cannot guarantee the number of people attending the event, or the level of sales generated.

Vehicle access will be provided for set up but during the day you must park in the designated stallholders parking area (unless agreed in advance – for example a burger van or for a vehicle-mounted generator).

 

Our school wi-fi access is protected and as such we can not give access to the public for it, we do have very good 4g and 5g network access in the school grounds. We ask attendees to bring cash and we can also direct them to the local cash machine. We ask you also bring cash and please check any payment systems you have can connect via your mobile device and data.
